Smart Agendas is a Colibri feature that helps you track your progress through your meeting agenda as you speak and reminds you what to say next. When you mention an agenda item, Colibri will hear it and automatically check it off.
While in Beta, this feature is available to all Starter, Pro, and Business customers.

How to enable Smart Agendas
Step 1. Go to Settings > My account.
Step 2. Toggle on Enable Smart Agendas.
Step 3. Click Save changes
How to create your meeting agenda
Step 1. Go to the Agendas page and click + New agenda.
💡 Tip: If you want to use the same agenda for multiple meetings you can create a reusable agenda template by clicking + New template.
Step 2. Add your agenda items. For best results, an agenda item must consist of 2 words or more.
When designing your agenda, keep in mind that in order for Colibri to recognise your agenda topics, you’ll need to mention them during the meeting exactly as written.
💡 Tip: Instead of designing your agenda as a laundry list of topics to be broached, create your agenda as a set of questions to be addressed. Here are some examples of what this could look like:
- Instead of a topic titled “Pain points,” consider a question such as, “What is your biggest challenge as it relates to…”?
- Instead of a topic titled “Budget problems,” try changing it to “How will we reduce our spending by 100K by the end of the fiscal year”? (Source: Harvard Business Review)
Step 3. Add the meeting date and time. This way the right agenda will automatically appear at the top of the screen when you open the Colibri app during the meeting.
Step 4. Click Create. The agenda will appear in your agendas list.
How to use an agenda during the meeting
Step 1. Open the Colibri app during the meeting.
Step 2. Start transcription.
Step 3. Go to the Agenda tab and choose an agenda or a template you want to use.
Step 4. When you or other participants mention an agenda item, Colibri will hear it and automatically check it off. You can also manually mark agenda items as completed if necessary.
Note: When you use an agenda during the meeting, it will be attached to the meeting transcript and will disappear from the agendas list. You won’t be able to use it again. To have a reusable agenda, use templates.
